Information for companies and entities

Curricular Internships:
They are configured as academic activities that are integrated into the study plans. They have the same consideration as any other subject at the university. This means that they need to be registered in advance, have a tutor, and are evaluated and graded.

 

Extracurricular Internships:
Students can voluntarily participate in extracurricular internships during their studies. Unlike curricular internships, they are not part of the study plan or the academic record. However, they are included in the European Diploma Supplement.

 

Implications for the organization in offering a Curricular or Extracurricular Agreement:
In the curricular modality, the Social Security fee is 100% covered, and in terms of tutoring, it involves a more defined set of tasks, closer monitoring of the student, and a more detailed final report since the student's academic record will reflect the internship grade.
In the extracurricular modality, the Social Security fee is not covered, and the task definition proposal and final report do not need to be as detailed.

  • Access to highly trained personnel in various technological areas taught by the school.

  • Opportunity to get to know candidates thoroughly and observe their work in real conditions for possible future hiring.

  • No employment relationship is established between the company and the student, as the nature of the agreement is academic and not employment-related, in accordance with Article 2.3 of Royal Decree 592/2014.

  • Internship expenses are accounted for as regular personnel expenses.

  • If the student joins the company after the internship, the internship period is not considered for seniority purposes, nor does it exempt the student from the legal probationary period.

  • The relationship is established through an agreement signed by the company, the student, and the university. The agreement can be terminated or extended at any time.

  • As of August 1, 2014, the Social Security contribution is 100% subsidized as long as the internship is of the curricular modality.

Students can work up to 20 hours per week, and those who are completing their final degree project at the organization or conducting internships between July 1st and September 15th can work up to 40 hours per week.

Throughout their studies, students can dedicate a maximum number of hours to external internships based on the duration of the study program:

  • 240 ECTS Bachelor's Degree: maximum of 1800 hours

  • 60 ECTS Master's Degree: maximum of 600 hours

  • 90 ECTS Master's Degree: maximum of 900 hours

  • 120 ECTS Master's Degree: maximum of 1200 hours

If curricular internships coincide with the completion of the Final Bachelor's Project or Final Master's Project, these limits can be exceeded once during the course of the studies by an excess of hours equal to the result of multiplying the credits enrolled in the Final Project by 15.

  • Curricular Internships for Bachelor's Degree: 12 credits, equivalent to a cooperation agreement of 360 hours (1 ECTS = 30 hours).

  • Curricular Internships for Master's Degree: 15 credits, equivalent to a cooperation agreement of 450 hours (1 ECTS = 30 hours).

If the student's curricular internship requires exceeding the hour limit, the difference should be considered in a new agreement as an extracurricular internship.

 

Extracurricular Internship Periods
They will be carried out in periods equal to or less than one semester, which are defined between September 16th and February 28th or 29th, and between March 1st and September 15th. If the duration of the agreement exceeds one semester, a new agreement must be formalized in the following semester, as long as the established hours per course and for the entire program are not exceeded.

 

Curricular Internship Periods
They can be carried out during an academic year (between September 16th and September 15th). Once the registration for the curricular internship is completed, the student will have a maximum of one calendar year to have it evaluated.

  1. The student must be enrolled during the internship period. When a student completes a cooperation agreement, they are no longer eligible to continue participating in educational cooperation programs. Therefore, it is necessary to initiate the procedure for processing the termination of the cooperation agreement.
  2. The student must meet the academic requirements in terms of credits passed and academic performance set by the school in order to be eligible for agreements.

In compensation for the internship carried out by the student, the organization undertakes to pay the student a specified amount, as a scholarship or study grant, which is determined at the time of signing the agreement (this amount will be at least €10 gross per hour for undergraduate students and €11 gross per hour for master's students), to be paid monthly.

A withholding tax must be applied to the study grant received by the intern, in accordance with the current tax and labor regulations. Consult the website of the Tax Agency.

As for management expenses, the UPC (Universitat Politècnica de Catalunya) invoices the organization directly for 15.70% of the total amount of the scholarship or study grant paid to the student. The corresponding VAT is applied to this amount at the invoicing date.

In the event that organizations have outstanding debts related to these management expenses with the UPC, the school reserves the right to establish new agreements and/or publish job offers with these companies.

1. Registration: To be able to post offers, it is necessary to register the company. The new access link for ETSETB is: https://borsapractiques.etsetb.upc.edu/ca

2. Publish an offer: The offers must be related to the field of study programs offered by the School. Once entered, the offer will be pending publication until it is validated by ETSETB. If you already have a previously selected student, this step is not necessary.

3. Receive resumes: The organization will receive the CVs of interested students directly to the email address provided in the offer.

4. Selection of students: The organization can establish its own selection system.

5. Agreement processing

Agreement registration:

    • If you do not have a candidate: Agreement registration will be done by publishing an internship offer through the new offer tool, including the following functionalities:
      1. Add internship offers to the job board.
      2. Receive and review student applications.
      3. Select the student among the candidates. This step records an agreement and the proposal is sent to the school.

Although the tool is the same for the entire UPC, each school will have its own job portal. The new access link for ETSETB is: https://borsapractiques.etsetb.upc.edu/ca where you will need to register.

    • If you already have a candidate: In case you have established contact with a student through a different channel than the job board and have selected them as a candidate, it will not be necessary to create an offer. In this case, ETSETB is working on a complementary form to directly enter the agreement, which will be operational soon. Until then, please contact us to provide us with the agreement details.

Role of the company tutor:

Once the agreement is entered and registered, the responsible tutor at the company must define and validate the activities and competencies of the Training Plan in coordination with the tutor from ETSETB UPC. When this step needs to be taken, the tutor will receive an email with the link to do so.

Signing process:

Following the procedure implemented a year ago at the school, all agreements will be signed electronically. The legal representative of the company will receive an email with the agreement in PDF format for them to sign with an Electronic Certificate. Once the agreement is signed, it must be returned to ETSETB for us to manage the signatures of the student and the school director.

Electronic signature is mandatory, and agreements with manual or scanned signatures cannot be accepted.

6. Register the student with Social Security

The entity funding the training program will have the status of employer, assuming the rights and obligations established in the General Social Security Scheme.

The employer will need to request a specific account code for contributions from the Social Security Treasury.

Companies will need to make the corresponding contributions following the contribution rules for training and apprenticeship contracts.

The same contribution rules established for training and apprenticeship contracts will apply.

There is no obligation to contribute for unemployment benefits, Salary Guarantee Fund, and professional training.

The student must assume the amount of 6.18 € corresponding to the contribution for common contingencies, although the company can decide to cover it as an additional cost.

7. Evaluation Survey (Extracurricular) or Evaluation Report (Curricular)

Upon completion of Extracurricular internships, the organization must fill out the evaluation survey within the intranet to assess the internship.

In the case of completing the Curricular agreement, the company tutor will send the Student Activity Report to the academic tutor of the School (point 6 of the agreement) with a copy to the Deputy Director of Companies (sotsdirempreses@etsetb.upc.edu) to evaluate the internship.

8. Cancellations, Extensions, and Modifications

In case of modifications (hours, period, amount, support), cancellations, or extension requests, they must be communicated with a minimum of 15 days in advance.

Modifications or cancellations related to a completed academic year will not be accepted. In case of cancellations, the amount billed by the UPC that has not been paid by the student will be refunded.

FAQ's

  • I don't remember my login details

    The procedure to follow is to send an email to the address empreses.etsetb@upc.edu and the ARE (External Relations Area) will resend the access letter with the username and password to access the School's intranet.

  • I have selected the student to create an agreement. Do I need to publish an offer?

    No, there is no need to publish an offer. The procedure to follow is to access the intranet, go to "Agreement Management," select the option "Agreement from scratch," and click on "Create Work Plan." Once the form is filled out, the ARE will validate it, then the company prints the agreement, and all parties sign it.

  • I want to terminate an agreement

    The procedure to follow is to search for the student's agreement in the list located in the intranet, under "Agreement Management," and click on the symbol (--) . A form will open where you need to indicate the end date of the internship, the correct total number of hours completed, the total amount, as well as the reason for termination and the type of invoice. Then, the termination document will be created, printed, signed by the company and the student, and scanned to the email address: empreses.etsetb@upc.edu.

  • I want to extend the hours of an agreement

    The procedure to follow is to submit a request to the ARE (empreses.etsetb@upc.edu) for modification, and once the section is changed, it is the same process as creating a new agreement. The ARE will validate it, the company prints the modified agreement, and all parties sign it.

  • When I select the Curricular Agreement mode, it doesn't let me proceed

    Tell the student to contact the School to verify if they meet the academic requirements for a curricular internship.

  • I get this error message: "The total number of hours and weeks entered for the agreement exceed the weekly hour limit. Maximum allowed: --- total hours."

    The application calculates that the student can perform a maximum of 20 hours per week as established by the regulations. The hours mentioned in the message correspond to the allowed total hours, taking into account these 20 weekly hours.

  • Extend a student's agreement

    When an agreement is completed or in progress, this information appears in the status column of the agreement list found in Agreement Management. It is possible to extend the agreement. The procedure to follow is to search for the student's agreement in the list and click on the extension symbol. The form to create the work plan will open, and the process is the same as creating a new agreement. The ARE will validate it, the company prints the (extended) agreement, and all parties sign it.

  • The application does not accept the student's ID number (NIF/NIE)

    a) The ID number (NIF/NIE) was entered with a letter, but it should be written without a letter.

    b) When the ID number (NIF/NIE) starts with a letter, the letter must be replaced with the corresponding number:

    - If it starts with X, it is equivalent to 0.

    - If it starts with Y, it is equivalent to 1.

    - If it starts with Z, it is equivalent to 2.
